This Privacy Policy explains how Axtra Performance Lda (“AXTRA,” “we,” “us,” or “our”) collects, uses, stores, shares, and otherwise processes personal data when you use our website, platform, and related services (collectively, the “Services”).

This Privacy Policy applies to both our marketing website and our application platform. It covers personal data relating to prospective customers, customers, coaches, staff members of customer organizations, athletes, and other users whose information is processed through the Services.

Depending on how you use AXTRA, we may collect the following:

  • Account and identity data — such as name, email address, account credentials, login identifiers, and organization details.
  • Training and performance data — such as training plans, exercise logs, readiness data, and other performance-related information entered into the platform.
  • Wellness and health-related data — such as user-submitted wellness check-ins and similar information that may be considered health data or special category data under applicable law.
  • User content and uploads — such as files, notes, attachments, and other content submitted through the Services.
  • Usage and device data — such as IP address, browser type, device information, session activity, page views, and product interaction data.
  • Communication data — such as emails, support requests, product feedback, and responses to product updates.

4. Data we receive from others

In some cases, personal data is provided to AXTRA by coaches, organizations, or administrators who use our platform. This means a coach or organization may submit or manage athlete data on behalf of another person.

We use personal data to:

  • Provide, maintain, and improve the Services;
  • Create and manage user accounts, including email/password and magic link authentication;
  • Deliver product functionality, including training management and wellness tracking;
  • Process payments and manage billing;
  • Send service messages and product updates;
  • Monitor usage, performance, and reliability;
  • Protect the Services against fraud, abuse, and security threats;
  • Comply with legal obligations and enforce our agreements.

6. Lawful bases for processing (GDPR)

Where the GDPR applies, we rely on one or more of the following lawful bases:

  • Contract — when processing is necessary to provide the Services you or your organization request;
  • Legitimate interests — for platform security, product improvement, analytics, and internal administration, provided those interests are not overridden by your rights;
  • Consent — where required, including for certain analytics or cookies;
  • Legal obligation — where we must comply with applicable law.

7. Health-related data

AXTRA may process training and wellness information that could qualify as health data or special category personal data. Where required by law, we process this information only where an appropriate legal basis and condition applies, such as explicit consent, processing necessary for employment or health-related management under applicable law, or processing carried out under the instructions of an organizational customer acting as the relevant controller.

8. Controller and processor roles

AXTRA may act as a controller for personal data we collect directly for our website, account administration, communications, analytics, billing, and business operations. Where organizations, coaches, or teams use AXTRA to manage athlete data, AXTRA may act as a processor on behalf of that customer, depending on the relationship and applicable law.

9. Cookies and analytics

We use analytics technologies, including PostHog, to understand how users interact with our Services and to improve product performance and usability. We currently use analytics-related tracking, and we plan to implement a cookie consent mechanism to provide clearer controls where required by law.

10. How we share personal data

We do not sell personal data. We may share personal data with:

  • Infrastructure and hosting providers, including Vercel;
  • Payment processors, including Stripe;
  • Email and communications providers, including Resend;
  • Analytics providers, including PostHog;
  • Professional advisors, auditors, and legal counsel, where necessary;
  • Authorities or regulators, where required by law or to protect rights, safety, or the integrity of the Services;
  • Corporate transaction counterparties in connection with mergers, financing, acquisitions, reorganizations, or sale of assets.

11. International data transfers

Because we operate globally and use service providers in multiple jurisdictions, personal data may be transferred outside Portugal or the European Economic Area. Where required, we use appropriate safeguards, such as contractual protections and vendor commitments designed to support lawful international transfers.

12. Data retention

We retain personal data for as long as necessary for the purposes described in this Privacy Policy. Where an account or workspace is deleted, we generally aim to delete or anonymize associated personal data within 30 days, unless we must retain it longer for legal, security, dispute-resolution, or compliance purposes.

If you receive product update emails from us, you may unsubscribe at any time using the unsubscribe link in the message, except for essential service communications.

15. Children

AXTRA is not intended for children and is designed for adult users, including coaches, teams, and organizations. We do not knowingly market the Services directly to children.

We may update this Privacy Policy from time to time. When we do, we will post the revised version on this page and update the “Last updated” date. If changes are material, we may provide additional notice where required by law.
